Importing Customers

Getting Started

To import customers, your role must have View, Edit & Delete authorizations for the Customer feature in Trade Service Pro.

Importing and exporting customer data is not available on mobile devices or tablets.

Importing can only be used to create new customers. Importing does not update or remove existing customer data.



Download a blank template

To begin importing customer information, you must first download the appropriate spreadsheet.

On the Customers page, click the Import/Export button and choose Import from Excel.

A window will pop up, explaining the import process. Click where it says "Click here" to download a blank template spreadsheet called Customer Import Template.xslx, which you will use to fill out your existing customer data.

Data entry

Locate and open the Customer Import Template.xslx file in your Downloads folder.

You can dismiss the comment popup by right-clicking on cell A2 and choosing Show/Hide Note.

Follow the instructions outlined in the spreadsheet to fill in your existing customer data.

A customer must have either a Company Name or a First/Last Name.

External Id

External Id is an optional value for any external identification you want to relate the customer to.



Active

Acceptable values for the Active column are TRUE or FALSE.

If you don't enter a value for the Active column, the import will default it to TRUE.



Customer Type

Typical values would be 'Residential,' 'Commercial, 'Municipal,' and 'Nonprofit.' Any value entered for a Customer Type will be added to the 'Customer Type' picklist.



Company Name

The name of the customer's business is required if a first and last name is not provided.



Name Prefix

Typical values include 'Mr,' "Mrs,' and 'Dr'.

Any value entered for a Name Prefix will be added to the Name Prefix picklist.



First Name

The primary contact's first name is required if a company name is not provided.



Last Name

The primary contact's last name is required if a company name is not provided.



Name Suffix

Typical values would be 'Jr,' 'Sr.'

Any value entered for a Name Suffix will be added to the Name Suffix picklist.



Street 1

The customer's street address



Street 2

Additional information for the customer's street address



City

The customer's city



State

Two character abbreviations are recommended. Any value entered for State will be added to the Region picklist.



Postal Code

The customer's postal/zip code.



Address Description

A free text description of the address, such as '3rd on the left' or 'Main office.'



Telephone 1-5 Type

This is used to identify the type of the telephone number for Telephones 1-5.

Any value entered for Telephone 1-5 Type will be added to the Telephone Type picklist.

Up to five different telephone numbers for the customer.



Email 1-5 Type

Used to identify the type of email address for Email 1-5.

Any value entered for Email 1-5 Type will be added to the Email Type picklist.



Email 1-5

Up to five different email addresses for the customer.



Customer Tag 1-5

Use customer tags to describe certain characteristics of a customer, such as 'Preferred Customer'.

Any value entered for Customer Tag 1-5 will be added to the Customer Tag picklist.



Internal Notes

Any additional free text information about the customer you want to capture.

Maximum of 2,000 characters.



Import

After you have completed filling out the spreadsheet and saved your changes, click on the "Choose File" button on the Import from Excel popup and browse to the spreadsheet you wish to import.

Once you've selected the spreadsheet you wish to upload, click the "Preview Import" button.

You will have a chance to review the data before anything is imported into Trade Service Pro.

Trade Service Pro will analyze the spreadsheet and show you the customer data you are about to import.

Review the changes and click the "Accept Import" button if everything looks accurate.

After clicking "Accept Import", the application will reload the customer page with you new data.



Import History

If you wish to review previous customer imports, click the "Import History" tab on the Import from Excel popup. You can see who imported the data, when it was imported, and how many customers were created during the import. You can also download a copy of the spreadsheet used to generate the import.
